We only collect the data required to deliver our services:

• Identity: first name, last name, children's names (up to 5).

• Safety information: relevant food or medical allergies.
• Order information: items purchased, amount, order notes.
• Sign-in data: your account email, used to secure your account.

3. Purposes of processing

Your data is used to:

• Register participants for our activities (tabletop role-playing, Trollball, LARP, costume workshops).
• Issue and communicate Interac e-Transfer payment instructions.
• Manage your order history and member profile.
• Sync invoices, payments and customer records with QuickBooks Online (Intuit).
• Answer your questions and provide customer follow-up.

4. Use of data by QuickBooks/Intuit

We use QuickBooks Online by Intuit solely to sync invoices, payments and the customer record. The data sent to QuickBooks is limited to:

• Customer first and last name.
• Email address.
• Mailing address and phone number.
• Invoice details, amounts and payments received.

QuickBooks/Intuit may not use this data for independent commercial purposes. We never sell, rent or share your data with third parties for marketing purposes.

5. Retention and security

Your data is stored in a secured cloud database and encrypted in transit over HTTPS. Access is strictly limited by row-level security (RLS) policies. Accounting records are kept for as long as Quebec and Canadian tax law requires, then securely deleted.

• Request its deletion or portability.
• Withdraw your consent at any time.
